These Terms & Conditions govern your use of vantarcforum.com (the "Website") and your participation in VANTARC Defense Forum (the "Forum"). By using the Website or requesting an invitation, you agree to these terms.

1. Who we are

The Website and the Forum are operated by Surorile Gălbenușe SRL, a company incorporated and operating under Romanian law, registered with the Trade Register under number J40/4365/2020, tax ID (CUI) 42439630, with its registered office at 26 Batiștei Street, 5th floor, apt. 17, District 2, Bucharest, Romania ("VANTARC", "we", "us"). 2. The Forum

The second edition of VANTARC Defense Forum takes place on November 5, 2026, at Scenario – One Floreasca, Bucharest. The Forum is a hybrid event: panels take place in person and are livestreamed on YouTube and Facebook.

We may adjust the agenda, speakers, panel topics, venue or format when circumstances require it. Where changes are significant, we will let registered guests know by email.

3. Requesting an invitation

In-person attendance is by invitation. Submitting the form on the Website is a request, not a confirmed seat. Because seating is limited, we review each request and may accept or decline it at our discretion, without having to give a reason.

Invitations are personal and cannot be transferred without our prior agreement. Please make sure the information you send us is accurate; we may withdraw an invitation issued on the basis of incorrect information.

4. At the venue

Guests may be asked to show the invitation and a valid ID at the entrance. Venue access and security rules set by Scenario – One Floreasca apply to everyone on site.

We expect respectful conduct toward speakers, moderators, guests and staff. We may refuse entry to, or ask to leave, anyone whose behavior disrupts the Forum or puts others at risk.

5. Questions from the audience

The audience may send questions online during the debates. By submitting a question, you agree that the moderator may read it aloud, with or without your name, and that it may appear in the livestream and recordings. Moderators select questions at their discretion.

6. Photography, filming and livestream

The Forum is photographed, filmed and streamed live. By attending, you acknowledge that your image and voice may appear in photos, video, livestreams and recordings published on the Website, our social media channels and in press materials about the Forum.

If you prefer not to be photographed or filmed, tell our team at registration or on arrival and we will do our best to accommodate you. Details on how we process images are set out in our Privacy Policy.

7. Partners and media

Partnerships and sponsorships are governed by separate agreements. Members of the press attend the Forum; statements made on stage are public and may be reported.

8. Cancellation or postponement

If the Forum is canceled or postponed for reasons beyond our reasonable control, including force majeure, public authority decisions or security concerns, we will inform registered guests as soon as possible. Attendance at the Forum is free of charge for invited guests, so no refunds apply.

9. Intellectual property

The VANTARC name and logo, the Website content, and the photos, videos and recordings of the Forum belong to us or to our licensors. You may share links and short excerpts with clear attribution to VANTARC Defense Forum. Any other use requires our written permission.

10. Use of the Website

You agree not to misuse the Website, including by attempting to access it in unauthorized ways, interfering with its operation, or submitting false or automated requests. The Website may contain links to third-party sites (such as Facebook, LinkedIn, YouTube or Google Maps); we are not responsible for their content or practices.

11. Limitation of liability

We make every reasonable effort to keep the Website accurate and available, but it is provided "as is." Views expressed by speakers are their own and do not represent VANTARC. To the extent permitted by law, we are not liable for indirect losses arising from your use of the Website or attendance at the Forum. Nothing in these terms limits liability that cannot be limited under Romanian law.

12. Changes to these terms

We may update these terms from time to time. The current version is always available on this page, with the date of the last update at the top.

13. Governing law

These terms are governed by Romanian law. Any dispute will be settled amicably where possible and, failing that, by the competent courts in Bucharest, Romania.
